Organize Your Volunteers with User Labels
User labels help your campaign categorize volunteers, find the right people, and organize follow-up.
A simple way to keep your team organized. Use labels to identify recruitment sources, teams, or other categories that matter to your campaign.
Track recruitment
Identify where volunteers joined, such as Online Sign Ups, Office Sign Ups, or Event Sign Ups.
Organize your team
Use clear categories such as Staff, Campus Leaders, or Training Team.
Find volunteers
Filter the volunteer table by User label to review a specific category of UpVoters.
What is a user label?
A user label is a category attached to a user record. It appears in the User label column of the Volunteers table and in the user’s General Details.
For example, labeling new recruits by where they signed up helps your team find them later and organize an appropriate welcome or training follow-up.
A label describes a user. Permissions control what they can do. A label such as “Staff” or “Campus Leader” does not itself grant manager access or change account permissions.
1. Create a user label
- Open Volunteers in the admin portal.
- Click a volunteer’s name to open their detail page.
- In General Details, find Add new user label.
- Enter a clear label name, then click Add.
- Use the User label dropdown to select the label for the user, then click Save to save the user’s assignment.
Keep your naming consistent so your team can easily recognize and reuse the right category. For example, choose either “Event Sign Ups” or “Event Recruits” rather than creating both for the same purpose.
2. Assign or change a user’s label
For an existing volunteer
- Open their detail page from Volunteers.
- Choose the appropriate option in the User label dropdown.
- Click Save.
The same area also includes Reset user label for clearing a user’s label. Review the user’s label before saving any changes.
When adding a volunteer
Click Add Volunteer. In the Add User form, enter the volunteer’s details and choose an existing User label before saving. Review the separate option to send login details as part of your normal volunteer onboarding process.
Choose the label that best fits your organizing plan. The current interface provides one User label selection per user. If you need a different category, review the existing assignment before changing it.
3. Assign a label to multiple volunteers
- Open Volunteers and find the people you want to update.
- Select their rows using the checkboxes.
- Click Bulk Actions.
- In Select Action, choose Assign user label.
- Select the desired User label.
- Review your selected volunteers, then click Save to apply the assignment.
Check the selection carefully before saving. Assigning a different label changes the users’ existing classification.
4. Filter volunteers by label
- In the Volunteers table’s Filters area, click Add filter if you need a new filter row.
- Under Columns, choose User label.
- Set the condition to is.
- Under Value, select the label you want to review.
Review the matching volunteers and their activity columns to plan your next follow-up. If other filters are active, check how they are combined: And requires both conditions to match, while Or includes users matching either condition.
Example: Filter by “Event Sign Ups” to review volunteers recruited at events. Check their activity to see who may need help getting started. A recruitment label alone does not tell you whether someone has logged in or added contacts.
User labels, voter tags, and custom fields
| Tool | Use it for |
|---|---|
| User labels | Categorizing volunteers and other user accounts, such as recruitment source or team. |
| Voter tags | Categorizing voter records rather than the users working with them. |
| Custom fields | Recording structured information on voter records, such as campaign-specific answers or follow-up details. |
Keep volunteer organization separate from voter classification so each category stays meaningful.
Common questions
Can I label several volunteers at once?
Yes. Select their rows in Volunteers, open Bulk Actions, and choose Assign user label.
Can I give a user several labels?
The current User label control selects one label per user. Use a clear, consistent classification that supports your team’s main organizing need.
Does assigning a label change a user’s permissions?
No. Account roles and permissions are managed separately. A label is an organizing category.
Where do I create a new label?
Open a user’s detail page and find Add new user label in General Details. Enter the name and click Add. Select the label in the User label dropdown when assigning it to a user.
Can I see labels in the volunteer list?
Yes. Look for the User label column. If it is hidden in your current table view, use Manage Columns to display it.
Start with a few useful categories
Choose labels your whole team understands, apply them consistently, and use the volunteer table’s filters to turn those categories into practical follow-up lists.
